Office Administrator – Auto Dealership
As our new Office Administrator, you will be the voice and face of our dealership. So we need someone with a winning attitude and a professional appearance. Job Responsibilities
Understand and follow office processes and procedures
Perform clerical duties such as typing, proofreading, data entry, filing, photocopying, faxing and sorting mail
Receive visitors and obtain name and nature of business
Direct clients to lounge and refer clients to appropriate personal for vehicle status updates
Diffuse client concerns and direct them to the appropriate team member for assistance
Collaborating with Dealership CFO on Accounting functions/duties
Coordinating Office Schedule with Accounting Analyst and Part-time Secretaries
Distributing incoming phone calls, in conjunction with Accounting Analyst, to Dealership Staff.
Maintaining and reconciling Balance Sheet Account Reconciliations (Accounts Receivable, Warranty Receivable, Contracts In-Transit, Cash, Accounts Payable, Work In Process, etc.)
Entering invoices into accounts payable module and processing checks at the end of the month.
Maintaining Accounts Receivable Aging reports and issuing monthly statements to customers.
Entering New & Used Vehicles into Dealership Inventory
Process incoming titles for Dealership inventory & processing sold titles & title applications for sold vehicles.
Processing Service Repair Orders & Parts Counter Tickets (recording in General Ledger & Processing Payments)
Working with Parts Department to maintain Parts Inventory
Education and/or Experience
1 year of related experience and/or training; Candidates with an equivalent combination of education and experience will also be considered.
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to walk. Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to adjust focus.
